Vendor Information

To support a consistent, identifiable, and respected brand presence, West Des Moines Community Schools (WDMCS) has an Approved Vendor List that is updated each year. All vendors must complete the annual application process and sign licensing agreements stating that they will follow the brand guidelines and terms of use.

What kind of vendor am I?
Some vendors may register as both affiliated and non-affiliated to accommodate a wider variety of projects.

Affiliated Vendors
Affiliated vendors always work with district-sponsored groups like teams or parent groups to produce products for a district-sponsored activity/organization.
- They DO NOT produce products independently to sell in a store or online.
- They DO NOT determine the price, distribution, and sale of the products. This is determined by the district-sponsored group.
Register for the Year
- Submit a 2023-24 Affiliate Vendor application.
- Sign and submit a 2023-24 Affiliate Vendor Licensing Agreement stating you will follow the brand guidelines. After signing the agreement, please email it to Andrea Love, business development director at Letterman Creative, at alove@lettermancreative.com.
- Receive an approval email from WDMCS or brand management partner Letterman Creative. Your contact information will be added to our Approved Vendor list.

Non-Affiliated Vendors
Non-affiliated vendors sometimes work with district-sponsored groups and sometimes work independently to produce products for vendor profit.
- They DO determine the price, distribution, and sale of the independently produced products.
- They MUST pay a royalty percentage of all revenues received for the sale of goods and services tied to the WDMCS brand, as spelled out in the non-affiliate licensing agreement.
Register for the Year
- Submit a 2023-24 Non-Affiliate Vendor application.
- Sign a 2023-24 Non-Affiliate Vendor Licensing Agreement stating you will follow the brand guidelines. You agree to pay to WDMCS a royalty of 10% of all revenues received for the sale of goods and services offered under the WDMCS Licensed Marks. This amount can be paid quarterly. After signing the agreement, please email it to Andrea Love, business development director at Letterman Creative, at alove@lettermancreative.com.
- Receive an approval email from WDMCS or brand management partner Letterman Creative. Your contact information will be added to our Approved Vendor list.

For Each Project:
- Confirm approval of the brand project request with your client. Either YOU or your client must fill this out for every project. Ultimately, it's up to the vendor to confirm this step is completed.
You or your client will receive a confirmation email with an approval number so you know you can move forward with the design. Please include this approval number in the email you send to the design review contact.
This approval number ties the project to the design. - Work with your client/organizations to follow the official brand guidelines outlined in the WDMCS and school-specific style guides. This includes logos, colors, and fonts.
- Submit all designs to WDMCS’ design review contact for approval prior to ANY project moving forward.
- Once WDMCS’ design review contact approves your designs, move forward and complete your client’s project!
- Confirm approval of the brand project request with your client. Either YOU or your client must fill this out for every project. Ultimately, it's up to the vendor to confirm this step is completed.

Why was my application denied or revoked?
- If a vendor does not consistently follow the official brand guidelines or processes, the vendor may lose their approved vendor status.
- Any unapproved vendor that produces materials using the district brands may be eliminated from consideration any time in the future.
- Any vendor that tampers with or uses district brand elements in any way other than outlined in the brand guidelines will be eliminated from consideration as an approved vendor in the future.
- Vendors who do not follow the brand guidelines and processes may be subject to legal action on behalf of WDMCS.
